You’re not alone if you often juggle multiple projects, struggle to finish tasks, or battle procrastination! ADHD brains thrive on interest, novelty, and urgency, so traditional productivity advice like “just make a to-do list” often doesn’t cut it.
Here are some ADHD-friendly strategies that I regularly use with clients to help them stay on track, get organised, and complete tasks—without the stress:
1. Break It Down (Smaller Is Always Better!)
Large projects can feel overwhelming, leading to task paralysis—that frustrating feeling of knowing you need to do something but cannot start. Instead of writing “Create Presentation” on your to-do list, break it down into tiny, actionable steps like:
- Outline key points
- Choose a design template
- Write the introduction
- Find images to support the content
Each of these steps feels achievable on its own, making it easier to get started.
2. Use Visual Tools & Colour Coding
ADHD brains are highly visual—so instead of relying on long lists, try Trello, Asana, or Notion to create drag-and-drop task boards that allow you to track progress visually.
Colour coding is another powerful ADHD-friendly tool. Try using:
✅ Green = Quick Wins
🟡 Yellow = Medium Effort
🔴 Red = High Effort
This simple tweak can help reduce decision fatigue and make prioritising tasks much easier.
3. Master Time-Blocking & The Pomodoro Technique for example
Time-blocking can be a game-changer if you find yourself jumping between tasks or struggling to focus. Set dedicated time slots for different activities (e.g., 9–10 AM: Emails, 10–11 AM: Deep Work, 11–11:30 AM: Admin Tasks).
The Pomodoro technique (25 minutes of focused work, followed by a 5-minute break) can boost motivation and prevent burnout. If 25 minutes feels too long, start with 10 or 15 minutes—even a small burst of progress can make a big difference!
4. Automate Reminders & Use External Accountability
Working memory challenges mean that important deadlines and tasks can easily slip through the cracks. Instead of relying on willpower alone, use calendar alerts, scheduling apps, or project management tools to send automatic reminders.
If you struggle with self-motivation, body doubling—working alongside someone (virtually or in person) for accountability—can be a powerful ADHD productivity hack. It’s why so many people find co-working spaces so effective!
5. Do a ‘Brain Dump’ to Clear Mental Clutter
ADHD minds race with ideas but holding everything in your head can lead to mental clutter, stress, and forgetfulness. Try a daily brain dump—write down everything in your head (tasks, ideas, worries) without worrying about organising it.
Once it’s all on paper (or in a notes app), you can prioritise what needs attention. This is a great way to clear your mind and improve focus.
